Stripe’s payout reconciliation report doesn’t cover manual payouts, instant payouts, or your books

It is a good report, for the accounts it covers and the question it answers. Here is where it stops, from Stripe’s own documentation.

Stripe’s payout reconciliation report groups the transactions behind each automatic payout so you can tie the payout to the deposit in your bank. If you are on automatic payouts, it is the right place to start. It is also easy to assume it covers more than it does.

Manual payouts are not in it

Stripe’s documentation says the report is only available to accounts with automatic payouts enabled, with one exception for platforms: a platform on manual payouts can use it if its connected accounts are on automatic payouts. Everyone else on manual payouts is directed to the Balance report and told to reconcile their Stripe balance the way they would a bank account. That is a different job. The Balance report tells you what the balance did. It does not tell you which transactions went out in which payout, because with manual payouts, you decided that.

Instant payouts are your problem

The same page is direct about this. Because you control the timing and amount of an instant payout, Stripe does not identify which transactions are included in it, and you are responsible for reconciling instant payouts against your transaction history yourself. If you use instant payouts for cash flow, the report’s neat batches do not exist for those transfers.

Connect is a different shape

The report is a view of one Stripe balance. A platform has its own balance and, through Connect, some relationship with many connected accounts that each have theirs. The itemized report carries connected-account columns, and the activity breakdown that lets you drill from a total into its transactions is only available to platform accounts. But a connected account’s own payouts to its own bank are that account’s reconciliation, not the platform’s, and a platform reconciling on behalf of its accounts is reconciling many balances against many banks. One report per balance is the starting point, not the answer.

It reconciles to the bank, not to the books

This is the gap that matters most and the one the report was never meant to close. The payout reconciliation report answers: which transactions were in the payout that landed in my bank? It does not know what your ledger says those transactions were. If your sync posted the payout at gross and skipped the fees, the report will not tell you, because the report has never seen your ledger. Tying Stripe to the bank is one leg. Tying Stripe to the books is the other, and it is where the book-side errors live.

Timing

Stripe computes report data daily and makes each day available around noon the following day. Two cases are documented as slower: the first automatic payouts for an account that was previously on manual payouts, and automatic payouts that occur more than 180 days after the previous one. If you are reconciling on the first of the month, the last day of the prior month may not be in the report yet.

What this means in practice

  • On automatic payouts with one Stripe account and no Connect: use the report to tie Stripe to the bank, then tie Stripe’s itemized transactions to your ledger separately. The report does not do the second part.
  • On manual or instant payouts: the report will not group your transfers. You need the balance transaction export and your own matching of payouts to transactions.
  • On Connect: expect one reconciliation per balance, and decide whose reconciliation each connected account’s payouts belong to before you start.
