The output is a balance you can prove, with every difference explained or flagged for recovery.

1. Gather the records
Pull the two records that should agree for the same period: the counterparty's statement (a payout report, invoice, or remittance) and your own record (bank, book, or system of record). Use complete exports, not summaries, since the detail is where the matching happens.
2. Match line by line
Pair each transaction to its counterpart using stable identifiers: an order id, a policy number, a shipment, or an amount and date within tolerance. Resist reconciling on the net total; a total that matches can still be built from individual transactions that do not.
3. Classify and document
Sort every difference into timing (will clear itself), explained (a legitimate fee or adjustment), or recoverable (a short-pay, missing payment, duplicate, or overcharge). Clear the timing items, note the explained ones, and document each recoverable one with its source line and amount so it can be disputed or claimed.
4. Resolve and repeat
Act on the recoverable items with the counterparty, using their own data as evidence, and carry any still-pending timing items into the next period. Then repeat on a regular cadence so differences are always caught small and fresh rather than accumulating.

Not to start; a careful spreadsheet works at low volume. Software, or a done-for-you service, earns its place as volume grows and manual matching stops being realistic every period.
What is the hardest step?
The line-by-line match, especially when inputs are messy PDFs or inconsistent exports. Getting the two records into clean, comparable structure is most of the work.
How do I know I am done?
When every difference is accounted for: timing items identified, adjustments explained, and recoverable items documented. A reconciliation with unexplained differences is not finished.
